Identify the tools you use to planyour own work and explain what you use them for.
Carefulplanning is critical to my ability to get things done: planning, organisationand action. These enable me to record everything which I need to action. Ireview these at least once a day to identify my priorities.
I aim to focus on thetasks which have deadlines attached to them and also tasks that I will be ableto complete in the shortest amount of time. Tasks that are less important Iwill either postpone and complete it at a different time, delegate the task or,if I am unable to identify the benefits and do not need to complete it then Iwill remove the task from the to-do list. Describe the techniques you use toplan your work in order to meet agreed deadlines.Thetechniques that I use to meet deadlines are making a commitment so that you arefocused on completing it. Make sure to take your overall task and then cut itdown so you can see the steps you need to take in order to achieve it.
I prioritise the work I need to get done forthe deadline instead of doing other tasks etc. Identify four ways you may be distractedfrom the task you are doing, suggesting a possible way to minimise each.Thefour ways that I could be distracted from the task I am doing are by personaltechnology, email, social media and the work environment. Personal technology- Thisis a distraction as we now receive work emails and phone calls on the same deviceand also download apps and go on them.
To minimise the distraction I could putit away for a certain time during the day so that I can focus on a particularpiece of work. Email- Thisis a distraction because many of the emails in our inboxesare not particularly important. However, we often feel the need to look at themas soon as they arrive. To minimise the distraction I could turn off the alertthat appears on the computer screen when I receive an email, and check andrespond to messages at set times of the day instead of replying as soon as themessage arrives because it takes away the focus from the task you are doing. Social Media- Thisis a distraction because it allows us to communicate to a large number ofpeople, view images and watch videos. Itcan also be a productivity killer, as ittakes our attention away from work tasks and breaks down our concentration. Tominimise the distraction I could track how long I use social media in a week, and give myself a time slot that I can use it in. The work environment- This is a distraction because the people around you are communicatingwith colleagues/friends and are loud.
This stops you from paying attention toyour task. To minimise this distraction you could wear noise cancellingheadphones so that you can focus on you work
